What belongs on a contractor receipt
- A receipt number, so the same payment is never recorded twice
- The date the money actually arrived, which is not always the date on the invoice
- The invoice number this payment is against
- Who paid, and the job address the payment belongs to
- What the payment covers, itemised rather than described as "work"
- How it was paid: cash, check number, card, or transfer
- The balance remaining, including zero when the job is paid in full
- Your signature, because a receipt is you saying you took the money
Cash is the reason this document exists
A card payment and a bank transfer leave a record whether anybody writes one or not. Cash leaves nothing. If you take $2,000 in notes on a driveway and write no receipt, there are now two memories of that afternoon and no document, and the one that gets believed is usually not yours.
Write the receipt in front of them, before the money goes in your pocket. It takes a minute and it is the cheapest minute in the job.
A deposit receipt is a different promise from an invoice
Deposits are the payment most likely to be disputed, because the client has paid and nothing has been built yet. Several states cap what a residential contractor may take up front and require it to be documented, so the receipt is not only good manners.
Name the job on it and show the balance remaining. A deposit receipt that says $3,000 received and nothing else invites the reading that $3,000 was the price.
Say how it was paid, not just that it was paid
Paid and paid in cash are different claims, and so are paid and check 1042. The method is the line that lets a bookkeeper, an accountant or a judge match this piece of paper to a bank record months later.
For a check, write the check number. For a card, the last four digits are enough and the full number never belongs on a document you hand over.
The receipt book in the truck is worse than this
A carbon receipt book gives the client the readable copy and keeps the smudged one for you, which is precisely backwards. It also cannot be searched, does not survive a wet dashboard, and means retyping everything at tax time.

Questions people ask
Is a contractor required to give a receipt?
For cash, in most states yes, either by a home improvement contracting statute or by plain consumer protection rules, and the requirement usually gets stricter the larger the payment is. Give one regardless. The question is never whether the receipt helps you until the day it is the only thing that does.
What is the difference between an invoice and a receipt?
An invoice asks for money that has not arrived. A receipt records money that has. If the job is paid in stages you will write several of each, and they should reference one another by number.
Is a receipt a contract?
No. A receipt proves a payment happened; it does not set out what the work is, when it finishes, or what happens if it does not. That is the contract's job, and on this site it is a separate document.
Does a receipt count for the IRS?
A receipt that names the payer, the date, the amount, what it was for and how it was paid is ordinary substantiation, and this one carries all five. Keep your copy for the same period you keep the invoice. This is general information, not tax advice.
Can I write a receipt for a deposit before any work is done?
That is the most important one to write. Set the amount received to the deposit and the line items to the work it is against, and the balance remaining is what is still owed when you finish.
